Create and Manage Reference Check Configurations

Streamline background verification and collect referee feedback across every program stage using flexible, custom reference check forms.

Reference checks are administered through forms, allowing administrators to seamlessly gather insights from referees across volunteer and workforce programs. Referees can easily complete their requests through a frictionless experience without needing to create an account. Reference checks can be administered using the following four forms:

  • User Data Collection form: Collects reference data and stores details directly on the user's profile.

  • Role Offer - Accept, Role Offer Application Withdrawal, Role Offer - Reject, and Roll Offer Interaction forms: Captures referee responses at specific hiring stages, storing data against the role offer or the user.

  • Expression of Interest and Cancel Expression of Interest forms: Logs Event-level reference details and interest against the user or event record.

  • Shift Application form: Verifies credentials via a pop-up before a volunteer or staff member can confirm a Shift.


Create a Reference Check Configuration

  1. Click Users > User Checks.

  2. Click the Settings tab.

  3. Click the Create button. The Create Configuration screen appears:

  4. Enter a Name for the reference check configuration. The Code field automatically populates based on the entry in the Name field.

  5. Edit the Code field, if desired.

  6. Click the Mode field dropdown to select one of the following options:

    • Perform reference check on Users: Collect background feedback from external referees to confirm a user is suitable for a role.

    • Perform a parental consent check on a user: Confirm that a minor or dependant has legal permission from a parent or guardian to participate.

      💡 Tip: The Code and Mode fields cannot be edited after the reference check configuration is created.

  7. (Optional) Enter the Number of references required for the check.

  8. (Optional) Enter a Success threshold number for how many references are required to be successful.

  9. (Optional) Enter the number of the reference check is valid for in the Days until reference check expires field.

  10. (Optional) Check the Auto Approve Reference Checks option to bypass manual administrator review for submitted checks.

  11. (Optional) Click the referee Contact method dropdown to select one of the following options:

    • Email: Collects the referee's email address.

    • Email and phone: Collects the referee's email address and phone number.

  12. (Optional) Add Form Welcome Text to the start of a form to guide users and explain information, if desired.

  13. (Optional) Add Form Submitted Text to show a message shown after submission to confirm the form was received and share any next steps, if desired.

  14. (Optional) Click the Add Field button to add custom fields to the reference check. Custom fields created in a reference check are limited to Text (Single or multiple line) and Options (select one or multiple) field types.

  15. Click the Save button.


Add a Reference Check to a Form

Reference checks can be added to new or existing forms. The following instructions relate to an existing form. See the Create and Update a Form article for more information. Refer to the beginning of the article for a list of forms reference checks can be added to.

  1. Click Forms > List.

  2. Click the More Actions menu on the form you wish to update.

  3. Click Update. The Form Builder appears:

  4. Click the Actions button > Add Referees option, or click the arrow next to the User Checks field in the Available Fields section of the form.

    The Referees window appears:

  5. Enter a name for the Field Label.

  6. Click the Check Configuration to select the User Check configuration.

  7. (Optional) Enter a Label for reference.

  8. Click the Update button.

  9. Click the Save button.


Update a Reference Check on a Form

To make changes to the Referee field on the form:

  1. Click the Referee field on the form. The Referees window appears:

  2. Edit the field, as desired.

  3. Click the Update button.


Remove a Reference Check From a Form

  1. Click the Referee field on the form. The Referees window appears:

  2. Edit the field, as desired.

  3. Click the Remove button.


Update a Reference Check Configuration

  1. Click Users > User Checks.

  2. Click the Settings tab.

  3. Click the More Actions menu on the configuration you wish to update.

  4. Click Update. The Update Configuration window appears:

  5. Update the information desired.

  6. Click the Save button.


Delete a Reference Check Configuration

⚠️ Warning: Deleting a reference check configuration is a permanent action and data cannot be restored.

  1. Click Users > User Checks.

  2. Click the Settings tab.

  3. Click the More Actions menu on the configuration you wish to delete.

  4. Click Delete. The following window appears:

  5. Click Yes.
